Written for the person who signs the books.

For accountants and finance managers: accounting built into the bookings, what it refuses, and what it hands you at the end.

Illustration with sample values. The real values come from the provider when the invoice is filed.

Accounting baked into the bookings. It sees what a stand-alone program can’t: the booking, the contract, the cost.

Drawn from the real screen. Names invented, figures changed.

  1. Invoice from the booking.

Gap-free numbers and credit notes, tied to the booking they came from. They reach myDATA through a certified provider once your live access is issued.

  2. Cost control on every hotel invoice.

A PDF, a photo or a scan is read for you and compared with your contract cost. More than €1 out, either way, and it is flagged.

  3. Every balance, in one place.

Agency and hotel ledgers, statements and a season check: invoiced, paid and owed, booking by booking.

  4. A journal your accountant can load.

A chart of accounts, periods that lock, and entries that balance to the cent, in a file their program imports.

Drawn from the real screen. Names invented, figures changed.

Accounting baked into the platform.

A stand-alone accounting program only knows what it is told. Here the sale, the cost and the payment all hang off the same booking.

It covers the daily work

Sales invoices, credit notes and proformas. Payments and refunds. Agency balances and statements. Supplier invoices, credit notes and payments. VAT rates, myDATA classification, chart of accounts, journal and lock dates.

It knows the booking

Invoices start from confirmed bookings, and every line of a hotel invoice is given its booking.

It knows the contract

Each hotel invoice is compared with your contract cost for that booking. More than €1 out, either way, and it is flagged.

It knows the margin
Revenue, cost and margin per month, and cost per booking, in the same place as the bookings themselves.
It knows what is still open
The season check sets every booking against what the hotel invoiced and what you paid.
It hands your accountant clean books
Your accountant keeps the official books in their own program. The journal goes to it in a file it can import, and every entry balances to the cent.

myDATA, through a certified provider

Filing goes through a licensed Greek e-invoicing provider, not a home-made connection to the tax authority. The connection has passed the provider’s acceptance tests with an invoice, a credit note and a retail receipt. Live filing is switched on for each company once the provider issues its production access.

Never filed twice

Before an invoice is sent again, the provider is asked whether it already has it.

Checked first

A recipient needs a name, a country and a real VAT number. A 0% VAT rate needs its exemption category.

The proof, printed

The MARK and the provider’s details are printed on the invoice exactly as returned.

You choose how it sends
Off, Manual or Automatic: right after an invoice is issued or converted from a proforma.
Practice and live, apart
Separate credentials, and on the practice server the PDF says nothing is legally filed. Switching to live asks you to type FILE FOR REAL.

Documents

Only confirmed bookings go on an invoice. Issued invoices cannot be edited or deleted, and their numbers are never reused: you correct with a credit note. Each document type runs its own series, with no gaps.

Invoices

TPY 2.1 service invoice and TPA 1.1, chosen by document type. TK 3.1 and TAKK 8.2 also.

Retail

APY 11.2 and ALP 11.1.

Credit notes

Linked to an invoice (5.1) or unlinked (5.2).

Proformas
Never sent to myDATA. Converted once into the real invoice.

Closing the books

Lock date

Nothing dated on or before it can be recorded, changed or deleted. A mistake is corrected with a new entry dated after it. Moving the date back needs a reason, which is recorded.

Statements

Agency and supplier ledger cards, on screen, as PDF or as a spreadsheet. The card agrees with the ledger and with the accountant’s export.

Audit

A wrong adjustment is never deleted. Reversing it records the opposite entry, with the reason.

What you owe, booking by booking

Hotel invoices

Upload a PDF, a photo or scan, or an electronic invoice, and have it read, or type it by hand. A person gives each line its booking.

Against contract cost

A difference of more than €1 either way is flagged and stays flagged until the amounts agree.

The season check

Every booking against what the hotel invoiced and what you paid: settled, part paid, overpaid, awaiting invoice, cost unknown.

Other suppliers
Transfer, excursion and other suppliers, paid per service.
Kickbacks
What each agreement earned, what you claimed, how it was settled.

What your accountant receives

Sales invoices, credit notes, payments, refunds, adjustments and supplier documents for a period, as journal entries for three Greek accounting programs, a generic CSV for any other, or a spreadsheet journal. Accounts follow the usual Greek chart (ΕΓΛΣ), and you can change any code.

For hotel accommodation, transport, excursions and other services you choose whether the VAT is deductible or part of the cost, as the special scheme for travel agents (art. 50 VAT Code) may require. Nothing is preselected: it is a tax decision, so it stays with your accountant.
